Horizon FAQs

Q: What is the Smart Card and what does it do?

A: The Smart Card stores the personality of your imager. All feature keys, network information and most settings are kept on the Smart Card. If you receive a replacement imager, it is critical to remember to take the Smart Card out of your old unit and insert it into the new one. In doing so, the new Horizon will automatically update with all the settings of the previous imager, providing instant uptime. The Smart Card can be found behind the door on the front of the imager, and is inserted in the slot to the left of the zip drive.

Q: What is the correct way to shut down the imager?

A: To properly shut down Horizon, press the power key. The imager will respond with a “shutdown” or “reboot” prompt. To shut the imager down, press the ENTER key and then the display will indicate it has started its shutdown process. It will take about a minute to completely shut down.

Q: Why is my imager printing a calibration test page on every reboot?

A: The imager will print a calibration test page when the printer is powered off improperly – using the rocker switch, for instance — rather than the control panel shutdown procedure. The calibration test page prints because the imager lost the supply cassette calibration data. To avoid this, always use the control panel shutdown procedure before turning off the rocker switch.

Q: What information do I need to submit to obtain a temporary activation key code (i.e. DICOM, PostScript)?

A: To receive temporary keys, please call tech support and provide your name and contact information, the printer’s serial number, and license code number. The serial and Smart Card numbers can be found in the Main Menu, Utilities –> Imager Info. Horizon temporary keys are issued in 90-day increments and may require Codonics Management approval to activate.

Q: I’m not getting enough choices in the Menu!

A: In order to see more menu selections, press the “menu” key to exit out of the menus. Then press and hold the left-arrow button while simultaneously pressing “menu”. Let go of both buttons. You are now at the administrative-level menu system which contains the majority of the printer setup options.

Q: The printer’s Alert light is on and it is asking me to load a different type of film or paper.

A: The alert light indicates that the printer is receiving an instruction to print on a specific media type not currently loaded in the printer. Most often, this occurs in DICOM connections, particularly with color paper or grayscale letter-size paper. If you do not have the exact media selection in your DICOM host, for example, A-size color paper, refer to the use the Horizon User’s manual page C-2 under “Called AE Titles”.

If you are printing using PostScript, there are two possible causes. First, check the “Advanced driver properties” in the Print menu. Chapter 6 of the Horizon User’s manual is a good reference for additional information. Second, check your application for a Page Setup option. Microsoft Word, for instance, contains this setting. Make sure the media size and type is selected in this menu in addition to your regular Print menu.

Q: How do I get rid of the black border around my films?

A: To get rid of black border on your film, change the Borderfill option to Off. This option can be found using the Control Panel, selecting Advanced Driver Properties, then Default User Settings. Other possible causes include Custom Job Settings as well as in some DICOM applications. Be aware that Custom Job Settings override Application Settings, which override the Default User Settings.

Alternately, turn Borderfill On and change Background to the correct color.

Q: What is the part number for the Horizon cleaning kit?

A: SP-00130

Q: What does Media Contaminated mean?

A: “Media Contaminated” may mean one of two things:

The cassette installed does not contain original media. It has media from another cassette loaded into it.
The printer has been unable to pull several sheets of media from the cassette. To prevent this problem from recurring, scrub the pick wheels thoroughly using the Platen Wipe located in the orange foil package that shipped with the film or paper. See chapter 10 of the Horizon User’s manual for details. When cleaning the pick wheels, do not be gentle. Apply considerable force. Please contact Codonics if you are having jam-related Media Contaminated messages.

Q: What does Unsupported Media mean?

A: Unsupported media means Horizon believes the media size or type is not compatible. This could be caused by a variety of factors: loading 14″x17″ media into a Horizon SF (a small format only model), or a barcode on the media loaded that is unreadable. To enter the barcode manually, use the control panel and press Left Arrow+Menu -> Utilities -> Enter Supply Barcode.

Q: What is the SmartDrive and what does it do?

A: The SmartDrive stores the personality of your medical disc publisher. All network information and most settings are kept on the SmartDrive. If you receive a replacement medical disc publisher, it is critical to remember to take the SmartDrive out of your old unit and insert it into the new one. In doing so, the new Virtua will automatically update with all the settings of the previous medical disc publisher, providing instant uptime. The SmartDrive can be found behind the green disc output bin on the front of the medical disc publisher, and is inserted in the recessed center.

Q: What is the correct way to shut down the medical disc publisher?

A: You should always shut down the system before attempting to power down the device. Before attempting to shut down or reboot the system, make sure that all jobs have finished. Press the green Soft Power button on the Controller front panel to start the shutdown process, or from the login screen, touch the Shutdown button at the top right of the screen. You are prompted as to whether you want to shut down the system, reboot the system, or cancel the shutdown. Touch the desired shutdown option. After initiating a shutdown or reboot, shutdown messages are displayed.

Q: What do the various LED indicators mean?

A: LED device status indicators are located on both the Dashboard and on the Controller front panel.

Green: On = Ready condition.
The ready condition indicates the device is properly configured and can accept studies for processing. The message “Ready” also displays in the Dashboard status message area.
Green: Flashing = Processing.
The processing state indicates the device is receiving a study, preparing a study for recording, or recording and labeling a disc. The status column of the Studies list, Discs queue, and the Dashboard status message area display the details of what is being processed.
Yellow: On = Alert condition.
An alert condition indicates the device requires user attention but can still process jobs. The specific alert condition is displayed in the Dashboard status message area.
Examples are: Low on Ink; Right Bin Empty.
Red: On = Fault condition.
A fault condition indicates the device cannot process jobs and requires user attention. The specific fault condition is displayed in the Dashboard status message area.
Examples are: Out of Discs; Out of Ink; SmartDrive Not Found.

Q: How do I find the device status?

A: You can display the Status Details window to view more detailed information about device status than is available on the Dashboard, including the software version, system counters, serial numbers, etc. by touching any portion of the Dashboard. The Dashboard is the area in the top section of the touch screen where the “Disks Remaining” icons and system operating status are displayed. Touching anywhere in this area causes the Status Details window to display.

Q: Can you set mA on the 2800 or 3200?

A: No, it is fixed by mAs setting; see time table below

Q: Why enter mAs, the product of mA and ms (milliseconds) vs. the two individual variables?

A: While there are some models that allow a Fixed, 15 mA and 30 mA – closed loop regulation, this solution offers a fixed mAs range in 25 steps. See dose chart.

Q: Why isn’t a PC included with our bundle?

A: Localization in input voltage, service, and language must be considerations.

Q: A combo with Horizon imager would make it less portable or non-portable, seemingly defeating the purpose of the mobility, so why include it in the bundle?

A: Many triage situations are fixed in tents for COVID-19 and a printout/image is an effective way to document the study. The bundle is also available without the imager.

Q: If the EPX unit is for a hospital setting, does it have connectivity capabilities to send images over the hospital network or connect to customer electronic records?

A: No. The monobloc does not have WI-FI or network connections. The digital package we add (iRay and ECOM) offer image acquisition through AP mode and then ECOM can export images through a wired or wireless connection to the greater enterprise network (requiring additional hardware, e.g. router and hub).

Q: Are their different part numbers to order a 110-input voltage unit vs a 220?

A: No – This will be noted by Codonics CSRs as they will be trained to verify with the order and note it correctly in Codonics system.

Q: Do DPX products comply with the new European MDR guidelines?

A: Yes.

Q: What is the Display Reversal Switch for?

A: It is in the manual (page 48). Says it “Help to read LED value of kV, mAs reversed” and is used when the unit is positioned upside down so you can read the numerals correctly.

For product out of warranty, the customer pay for shipping both ways.

Q: Must the x-ray system be shipped in the original manufacturer’s packaging?

A: Yes, and it is a custom box that is foil lined and expensive. It is very important that you save them for your customers as they are very expensive. See price list.

Q: What is the typical repair time for in-warranty repairs?

A: One week.

Q: Can extended warranties be purchased at any time while the unit is in warranty or must it be purchased with the initial order?

A: You can extend warranty at any time.

A: The set up and operation of the portable x-ray is so simple that there typically are no questions. Most questions are about the DR or CR detector.

Q: What breaks the most and what parts would you recommend we offer to a distributor as the ones they might like to have on hand locally?

Q: Is this Safe Label System designed for medical usage in the operating room?

A: Yes, the system was designed for use in the operating room. It includes a medical grade (safety compliant) power supply and has been designed such that it can be cleaned with disinfectants without any risk of damage to the system

Q: Are the labels created by the Safe Label System compliant with National Safety Patient Goals NPSG.03.04.01 of The Joint Commission

A: Yes, the labels are engineered to conform to the American Society of Anesthesiologists (ASA) color guidelines and contain all elements required by the National Safety Patient Goals of The Joint Commission (TJC). It is also compliant with ISO standard ISO 26825 and ASTM 4774.

Q: Can labels printed on the Safe Label System be written on with a standard ball point pen?

A: Yes, the labels can be written on with both a ball point pen and felt tip pens. No special pen is required.

Q: What elements are included on the labels created by the Safe Label System?

A: The labels are properly color coded according to the ISO standard ISO26825 and ASTM 4774.). The labels may include:

medication name (with configurable Tall Man lettering) and concentration
dilutions and diluents
preparation date/time, expiration date/time
identification of the preparer (i.e., preparer’s initials)
site-specific warnings and messages.

Q: What other types of labels can be printed with the Safe Label System?

A: The Safe Label System can print labels for IV lines, invasive monitors and other operating room needs on-demand. The labels are configurable by the site.

Q: What is the bar code printed on the label used for?

A: The barcode can be used to integrate with an Anesthesiology Information Management System (AIMS), a Bar Coded Medication Administration system (BCMA), a broader hospital information system such as an EHR, or a waste assay system for drug diversion.

Q: What are the benefits of using the Safe Label System with an AIMS?

A: Additional safety features available when integrated with an AIMS may include:

Automatic identification and announcement of each syringe to be administered
Automatic documentation of the date/time when a drug was administered
Warnings for expired syringes
Warnings for patient allergies or adverse drug interactions

Q: Will Codonics provide the barcode information to different AIMS companies so that they can support it or is it exclusive to specific vendors?

A: Yes, Codonics will provide the barcode information and sample labels to AIMS, BCMA and EHR companies upon request for their integration of the system. Currently supported AIMS vendors include Epic, Cerner, Plexus, iMDSoft and Tosho.

Q: Can the Safe Label System’s formulary database be customized for specific hospital formularies?

A: Yes, the Safe Label System includes a customizable formulary database. This database can be customized to specify all the details of the label (name to be displayed, concentration, Tall Man lettering, color, etc.).

Q: Who manages the Safe Label System’s formulary database?

A: The architecture of the Safe Label System is similar to that of a Smart Pump. We expect that all sites will assign a pharmacist or drug librarian to manage the database just like they do for their Smart Pumps.

Q: Does the Safe Label System’s formulary support pre-defined combinations of drugs?

A: Yes, the Safe Label System can support combinations of drugs. These must be defined in the system’s formulary and a custom bar code defined for the combination. If prepared “on the fly” then a blank label must be prepared and completed by the clinician.

Q: How is the Safe Label System’s formulary database updated?

A: The formulary database in the Safe Label System may be updated manually by inserting a USB drive containing the update into each unit or the system may be updated remotely via network (Ethernet or Wi-Fi).

Q: What is the bar code reader on the Safe Label System used for?

A: The bar code reader on the system is used to scan the bar code on drug vials and ampoules. The bar code tells the Safe Label System all of the pertinent information on the drug including manufacturer, manufacturing location date, etc. This information is used in preparing a label with the Safe Label System. In addition, the information is used to identify recalled and/or expired drugs.

Q: What happens if a drug vial is scanned that is not in the formulary?

A: The Safe Label System will alert the user visually and audibly that the drug was not recognized and will allow the user to print a blank label that can be completed by hand and used for labeling the syringe.

Q: Is the speaker volume on the Safe Label System adjustable?

A: Yes, the speaker volume can be adjusted or muted.

Q: Is the brightness of the Safe Label System’s touch screen adjustable?

A: Yes, the touch screen brightness can be adjusted.

Q: Can the Safe Label System be mounted on a cart or anesthesia boom?

A: The system has been designed for mounting on carts and booms. Codonics sells a variety of shelves, arms and wall mounts for the system. In addition, the base of the system has a VESA compliant mounting pattern so that standard mounts can be used. Additional information on VESA can be found at www.vesa.org.

Q: What types of consumables are required for the Safe Label System?

A: The system uses two consumables, a multi-color ink cartridge and a label roll. The ink cartridge should last approximately one month depending upon the colors used (Typical usage is 5-10 labels per procedure, 6 procedures per day, 5 days per week). The label roll contains 1,000 labels.

The labels used in the system are specially engineered to comply with stringent medical guidelines and requirements. The labels have a plastic base so that they do not tear and can be dipped in alcohol and other liquids without degradation in image quality. In addition, they have a special adhesive that ensures that they do not peel or curl for at least 24 hours.

Q: How will the user know that the consumables on the Safe Label System are low?

A: The system will tell the user that the ink is low on the user interface with a warning message and then will provide another message, as well as not print labels, when empty. The label rolls have a color mark on the label’s liner indicating that the media is low when only a few days’ supply is left. This is similar to the red indicator used on a cash register.

Q: Is there a cutter in the Safe Label System to support cutting and dropping of the labels?

A: Yes. This is a standard feature of the product.

Q: Can the SLS be managed over a network?

A: Yes, the SLS can be managed over a network either via Ethernet or Wi-Fi. All SLS systems to be managed must have the same version of software installed on each of them.

Q: What network interfaces does the SLS support?

A: An Ethernet interface is standard on each SLS. An optional Wi-Fi interface is also available. The Wi-Fi interface is compatible with 802.11ac.

Q: Is Gigabit Ethernet supported?

A: SLS550i supports Gigabit Ethernet (1000Base-T).

Q: What Wi-Fi “encryption” protocols does SLS Support

A: Encryption ensures that communications between the SLS and the Wi-Fi access point are secure and equipment scanning the radio waves cannot decode the data sent over Wi-Fi frequencies. The SLS supports:

Q: What Wi-Fi “authentication” protocols does SLS Support?

A: Authentication protocols are used to validate a user or piece of equipment is allowed to interact with the network. This is commonly with a series of “certificates” that are files with secure data that identify the equipment to the network. Authentication can also be done by assigning special usernames and passwords to the equipment or by a combination of certificates and passwords. SLS supports the following protocols:

PEAP (Protected Extensible Authentication Protocol) “also known as PEAPv0” is a proprietary protocol which was developed by Microsoft, Cisco and RSA Security.
EAP-TLS (Extensible Authentication Protocol – Transport Layer Security) is an older standard that was created by Microsoft and accepted by the IETF as RFC 2716: PPP EAP TLS Authentication Protocol. This is a very common protocol used in enterprise applications.

Q: Does the SLS Ethernet interface use the same encryption and authentication as the Wi-Fi interface?

A: No. The SLS does not support encryption or authentication over Ethernet. Often, a hospital will disable an Ethernet port that is not being used or only allow equipment with a specific Ethernet address (MAC address) to be plugged into the port.

Q: Can both the Ethernet and Wi-Fi network interfaces be active simultaneously?

A: Yes. Both interfaces can be configured and used at the same time.

Q: Does the Safe Label System support both Static and DHCP IP addresses?

A: Yes. The network settings of both the Ethernet and Wi-Fi interfaces are independently configurable from the Utilities menu of the SLS touch screen to use either Static or DHCP IP addresses.

Q: Can I buy an off-the-shelf USB Wi-Fi interface for the SLS?

A: No. The SLS is a medical device with hardware and software designed and validated by Codonics. Only use Codonics supplied hardware and software. Use of unauthorized hardware or software will invalidate Codonics’ warranty and support. A Feature Key is required to enable the Wi-Fi interface on the SLS.

Q: Can the SLS report a problem over the network?

A: Yes. The Email Notification program and the Device Manager on the Administration Tool can be used to monitor the status of SLS systems on the network.

Q: Can the SLS be virus scanned over the network?

A: No. The SLS only allows remote network connections from other Codonics software tools such as the SLS Administration Tool and the SLS Email Notification program. This is a security feature to prevent unauthorized programs from accessing or changing software on the unit.

Note: The SLS uses Linux and various other security measures which substantially reduce the risk of the system being compromised by a virus or malware.

Q: Can virus scanning software be loaded onto the SLS from the USB port on the unit?

A: No. The SLS will only boot and install official Codonics SLS operating software on a Codonics supplied USB drive. The SLS will not boot or install software from any other USB drive.

Q: Is there any way to eliminate a virus from the SLS?

A: Yes. In the unlikely event that an SLS gets a virus, reinstalling the operating software from a Codonics supplied USB drive will completely reinitialize the system. You should also reload the formulary if you suspect the SLS had a virus.

Q: Is SLS data being transferred over the network secure?

A: Yes. All connections to the SLS use SSL (Secure Sockets Layer) and can only be established from Codonics software tools using a password that is assigned by the site. This prevents other programs from connecting to the SLS. Additionally, all software and formulary packages are encoded in a proprietary format with a digital signature to prevent unauthorized software or data from being installed on the SLS. This applies to packages that are installed over the network or from the USB drive on the SLS.

Q: Are network transfers to the SLS fast?

A: Yes. A typical formulary is significantly less than 50MB and can be transferred from the Device Manager on the Administration Tool to the SLS in a couple of minutes. A network with many SLS systems can deploy a formulary to 50+ systems in less than 1 hour. If the hospital network is very busy, it may require more time.

Q: Will installing a new formulary interrupt a provider using the SLS?

A: No. Formularies will only be installed when no users are logged into the system. If a user is logged in, the formulary will be received and stored by the SLS until the user logs out. After the user logs out, the front panel will provide a notice that a formulary is going to be installed and give the user a chance to defer the installation.

Q: Will I know if a formulary successfully installed on an SLS?

A: Yes. The Email Notification program can be configured to alert you of successful or failed formulary installations. Also, the Device Manager on the Administration Tool can be used to check status and the version of the formulary on all SLS devices.

Q: Will the SLS continue to function if the network connection is lost?

A: Yes. The SLS is designed to run without a network connection. The network is primarily used to simplify installation of formularies and provide centralized monitoring of the SLS units. A network connection is not required to use the SLS.

Q: Will the AT Device Manager tell me if the network connection is lost?

A: Yes. The Device Manager on the Administration Tool will indicate any SLS unit that is not responding on the network and indicate the device is Offline. The software, formulary and configuration version information will not be displayed while the unit is not accessible on the network.

Q: Is an external scanner available for the SLS so that I can scan items that are too large to put under the scanner?

A: Yes, an optional tethered hand scanner is available for the SLS that will allow the user to scan with either the integrated or external scanner.

Q: Is it possible to scan the syringes labeled with the SLS before the medication is administered in order to confirm the correct syringe was selected?

A: Yes, with Administer Mode, an optional feature (requires an Administer Mode feature key) the user can scan a label prepared on the SLS and the system will present the user with the drug name and concentration as well as check the expiration status of the syringe.

Q: Can I use the labels prepared on the SLS with a BCMA system?

A: Yes, labels prepared with the SLS can be used with BCMA systems. The 1D and 2D bar code label contains the drug code number of the medication and systems like Epic can be configured to read the bar code.

Q: What are the system requirements for the Administration Tool software and Email Notifier software?

A: The current released Administration Tool software 2.6.1 requires the following requirements:

Q: Can I run the Administration Tool from my home network?

A: Yes. The Administration Tool can usually be used from home to access SLS systems in a hospital if you have a VPN connection to the hospital network. Performance will probably be slower, but network operations between the Administration Tool and SLS will work.

Q: How does the Email Notification work?

A: A special Email Notification program is provided by Codonics that can be installed on any Windows-based server in the facility. The Email Notification program can be configured to monitor any or all the SLS units in the facility. A Feature Key is required on each SLS to allow the Email Notification program to access events on that SLS. Emails of important SLS events are sent to any user or set of users. A: Yes. The list of events, email addresses and frequency of sending events are configurable. When multiple events occur, a user receives all the events in a single email.

Q: Can I receive notifications on my Smartphone or tablet?

A: Yes. Event notifications are can be sent to any email account including accounts that are received on portable devices like an iPhone, Android phones and tablets like the iPad.

Q: Can I install a virus scanner on the Windows system running the Administration Tool?

A: Yes. The SLS Administration Tool is designed to run in a standard Windows environment that includes third party software such as virus scanning programs.

Q: Are network transfers to the SLS fast?

A: Yes. A typical formulary is significantly less than 50MB and can be transferred from the Device Manager on the Administration Tool to the SLS in a couple of minutes. A network with many SLS systems can deploy a formulary to 50+ systems in less than 1 hour. If the hospital network is very busy, it may require more time.

Q: Can I manage multiple SLS systems from one Administration Tool?

A: Yes. The Device Manager on the Administration Tool can handle hundreds of SLS systems.

Q: Does the Administration Tool support multiple formularies?

A: Yes. For example, you can have separate formularies for OR and Labor and Delivery. Codonics will assist in setting up your multiple formularies.

Q: Does the Administration Tool support multiple user roles and privileges.

A: Yes. By default, there are Administrator, Super User, Pharmacist, Pharmacy Tech, and BioMed with different privileges that each are provided. The roles and privileges are configurable.

Q: Will installing a new formulary interrupt a provider using the SLS?

A: No. Formularies will only be installed when no users are logged into the system. If a user is logged in, the formulary will be received and stored by the SLS until the user logs out. After the user logs out, the front panel will provide a notice that a formulary is going to be installed and give the user a chance to defer the installation.

Q: Will I know if a formulary successfully installed on an SLS?

A: Yes. The Email Notification program can be configured to alert you of successful or failed formulary installations. Also, the Device Manager on the Administration Tool can be used to check status and the version of the formulary on all SLS devices.

Q: Will the AT Device Manager tell me if the network connection is lost?

A: Yes. The Device Manager on the Administration Tool will indicate any SLS unit that is not responding on the network and indicate the device is Offline. The software, formulary and configuration version information will not be displayed while the unit is not accessible on the network.

Q: How does WasteLog^® work?

A: WasteLog works similarly to the way the Shazam music app works on your smartphone. For example, if you hear a song you really like but you don’t know the name of the song or the artist, Shazam uses the built-in microphone on your phone and gathers a sample of that song. An acoustic fingerprint of the audio sample is then created and that fingerprint is then sent to the cloud and the audio fingerprint is compared to a central database to hopefully find a match. Shazam matches or does not match the audio fingerprint. WasteLog^® is similar in that it gathers spectral information of a measurement of a specific substance. This spectral information is sent to the database where WasteLog^® compares the spectral profile with calibrations stored in the database. The result, like Shazam, is that there is either a match or not. It’s a pass or a fail.

Q: What are the components of the WasteLog^® system?

A: The WasteLog^® system has three components: a stand-alone assay device that uses hardware and software manufactured by Pharmacolog, a cloud-server, and data analytics software.

Q: Does the WasteLog^® device come preloaded with a library?

A: The most up-to-date library is installed during the installation process. In addition, customers can/will be able to add to their library by adding their own drug/concentrations.

Q: If a sample fails, will WasteLog^® tell me what drug failed?

A: If WasteLog^® has a fingerprint of the drug that failed in its library, it will verify the identify and concentration of the pharmaceutical in <4 seconds. If there is not a fingerprint associated with that drug (e.g. not in the library), then it will not tell you what the drug is. In that case, it will only tell you if it is or is not the drug you are testing for.

Q: What is a fingerprint?

A: A fingerprint is one relative measurement (sample minus reference) for one drug, one concentration. A fingerprint can be created from an average of two or more measurements and is called a fingerprint average. A fingerprint set is comprised of many fingerprints of different concentrations of one substance.

Q: How do I create a ‘fingerprint” and how long would that take?

A: Adding a fingerprint in the system only takes a few minutes.

As a super user, go to Administrate and then click on Calibrate. Place the sample in the WasteLog^® cuvette holder and press Measure Sample. Type in the name of the substance and manufacturer, then type in the expected concentration. Add the correct unit, e.g. mg/mL. Next, click on Add to Catalog. To adjust or delete a fingerprint or change a setting in the administrative application, click the Edit button.

Pharmacolog provides a WasteLog^® calibration guide to customers. The guide speaks in detail on how to create fingerprint sets and includes calibration principles (# of calibration points, distribution of calibrations, multiple measurements, diluent handling, analysis principles, editing) and practical information.

Q: How do I get access to other’s “fingerprints”?

A: WasteLog’s^® cloud service collects all the curves and learns new medications as they become available. New calibrations are certified by Pharmacolog and once certified, can be requested by WasteLog^® users. Access to fingerprints in the cloud requires the hospital to renew support on a yearly basis, which provides not only fingerprint access but also hardware and software support.

Q: Should I shut the system off every evening?

A: Yes. It is a best practice to power down the system each night.

Q: What reports can be generated?

A: Analytical measurement log reports are generated. Additionally, WasteLog^® has remote report capability with cloud-based storage of calibrations and measurement data.

Q: What is the step-by-step process to test a sample?

A: All users are managed through the administrative module on the WasteLog^® system. Any user that has administrative functions can add or inactivate users.

Q: Who are typical users of WasteLog^®?

A: A user can be anyone at the facility, including (but not limited to) pharmacy interns, technicians, and pharmacists for random waste screening in the PACU. WasteLog^® enables each facility to adopt a workflow that’s commiserate with their drug diversion prevention program.

Q: Is WasteLog^® a product specifically for the pharmacy?

A: WasteLog^® can be installed anywhere the facility wants to waste, e.g. pharmacy, satellite pharmacy, the ICU, Labor & Delivery, or the OR – anywhere controlled substances are used and where waste occurs.

Q: Should my WasteLog^® system be connected to the internet?

A: WasteLog can be used without a network connection to the internet. An internet connection is required for certain functionality including backing-up of data to the WasteLog^® cloud-based server, enabling remote technical support assistance, enabling report functionality and enabling the ability to push data to multiple units installed through the same enterprise or facility.

Q: How do I receive software updates?

A: Software updates for the WasteLog^® system are tested, approved and released by Pharmacolog on an as needed basis. They are installed remotely by Pharmacolog staff remotely via the cloud server. System(s) may be connected the cloud server and be covered under a service contract to receive software updates.

Q: Network connectivity?

A: Network connectivity is not required to test samples using WasteLog^®. Network is required to backup the system, utilize Data Analytics functionality and/or received updates. Network connectivity requires a Wi-Fi connection.

Q: Is WasteLog^® mobile?

A: Yes.

Q: Does WasteLog^® integrate with diversion software?

A: Yes. The system can be integrated with some diversion software. Please request a current list from your Codonics sales representative for the most up-to-date information.

Q: If a narcotic has multiple diluents, would each of those variations have a specific curve/fingerprint?

A: If the narcotic had the same concentration but a different diluent, then each would have a different curve and fingerprint.

Q: Can WasteLog^® test low concentrations?

A: Yes. All narcotic drugs can be handled in diluted form. WasteLog^® is exceptionally good and accurate with low concentration liquid injectables.

Q: What are the benefits of spectroscopy when compared to refractometry?

A: The WasteLog^® system uses spectroscopy technology. Spectroscopy is used in physical and analytic chemistry to detect, determine or quantify the molecular structure of the sample. It is a stronger technique that relies on the absorption of light to measure concentrations. It is best when analyzing clear liquids vs. suspension-type liquids, like Propofol. Refractometry is used to determine a concentration of a particular substance within a solution and operates based on the principle of refraction. It is a lower cost technology but results are not immediate, taking several minutes, whereas spectroscopy is <4 seconds. Additionally, refractometry has challenges with low concentration analysis and provides unreliable results.

Q: If I’m in a multi-hospital system and add a drug to the library in one facility, is that fingerprint available to my other hospitals?

A: Yes, if the system(s) are connected via the hospital network to the Pharmacolog cloud server. As all calibrations are stored in the cloud and calibrations in one unit can be made available on any unit in a multi-hospital system after a request to Pharmacolog.

Q: In a multi-hospital system, if a clinician has a test fail in Facility A and tomorrow has a different test fail in Facility B, is all of that data centrally stored and exported?

A: In a multi-hospital setting, each test performed includes information about which unit it was measured on as well as all other entered information. A report could include all tests performed on several units in a multicenter. That data can later be sorted easily in Excel or other statistical software. WasteLog^® stand-alone captures where the failure occurred but who (which clinician), the drug name and concentration would need to be manually input into WasteLog^® (and isn’t always known or legible from the syringe).

However, when WasteLog^® is integrated with Codonics^® Safe Label System^®, a scan of the prepared and wasted syringe barcode electronically provides the drug name and concentration (diluent and dilution, if applicable) and the date and time the syringe was prepared along with the preparer’s initials. If the hospital is using a drug diversion data analytics software tool, this information in WasteLog^® can be exported to that tool through a simple Excel CSV file for more complete analysis.

Q: Should we test every single syringe?

A: Many sites using WasteLog^® with Safe Label System® are testing 100% of their wasted narcotic syringes because it’s fast and simple; however, it is up to each site and what best practices they want in place for diversion control.

Q: Can I create and test mixtures (e.g. “cocktails”)?

A: WasteLog^® is designed to effectively test clear liquid diluents such as saline, sterile water, etc. It is very difficult to discern something other than a single medication and/or a medication and a normal diluent. Creating a fingerprint for and/or testing two+ medications is not recommended as the system is not intended for use on “cocktails”.
